Takumo Traveler, guest luggage-forwarding & tracking application (Japan)

1.1  Takumo Traveler is an application provided by Takumo K.K. (“Takumo”, “we”, “us”) that lets hotel guests submit luggage-forwarding booking requests and view and track the status of their shipments. 

1.2  Takumo provides software only. Takumo does not itself transport goods, and is not a carrier or logistics provider. All transport is performed by the carrier selected by the hotel or Guest. 

1.3  Takumo Traveler is free of charge to Guests. Takumo does not charge Guests for any use of Takumo Traveler and does not collect payment from Guests; you are not asked to, and should not, enter payment-card details into Takumo Traveler. 

1.4  By accessing or using Takumo Traveler you agree to these Terms of Use. If you do not agree, please do not use the application. 

Takumo Traveler enables you to: 

  • Scan your hotel’s QR code and register your details to start a luggage-forwarding booking request for one or more items. 
  • Submit that request to the hotel, whose staff confirm the details, measure and price the items, and dispatch the shipment. 
  • View your booking details and track the real-time or last-known status of your shipment using carrier data. 
  • Save a booking pass to Apple Wallet or Google Wallet and access your booking history. 
  • Receive shipment status notifications by email or SMS. 

Takumo Traveler does not: 

  • Guarantee delivery timelines or outcomes, which are the carrier’s responsibility. 
  • Take payment from you or store your payment-card or financial information. 

3.1  Your luggage is transported by a carrier selected by your hotel or via your booking (such as Yamato Transport, Sagawa Express or Japan Post). The transport contract is between you (or the hotel on your behalf) and that carrier. 

3.2  When you submit a booking you confirm that your items comply with the carrier’s prohibited-goods rules and you agree to the carrier’s liability terms; this consent is recorded digitally as part of your booking. 

3.3  Takumo is not responsible for the transport, delivery, loss, damage or delay of your luggage. Claims about your shipment must be made to the carrier under its terms. 

3.4  Tracking information is provided by the carrier and there may be a delay between a physical event and its appearance in the app. Takumo does not guarantee the accuracy or timeliness of carrier tracking data. 

4.1  You can use Takumo Traveler by scanning your hotel’s QR code and registering your details, or by using a tracking link or credentials provided by your hotel. You are responsible for keeping any login credentials secure and for the accuracy of the details you submit. 

4.2  Please do not attempt to access another person’s booking. If you think your access has been compromised, notify your hotel and us promptly. 

4.3  If you are under the age of majority in Japan, please use Takumo Traveler only with the involvement of a parent, guardian or the hotel. 

5.1  To provide the service, Takumo Traveler processes personal data about you, including your name, delivery address, contact details and shipment information. This data is provided by you directly when you book, and/or by your hotel. 

5.2  We process your personal data under our Privacy Policy (takumo.jp/privacy) and Japan’s APPI. Your core booking data is stored in Japan (AWS Tokyo). Some features, such as email/SMS notifications, digital-wallet passes and address validation, use global service providers that may process limited personal data outside Japan; this is described, with the APPI Article 28 information, in our Privacy Policy. 

5.3  We share shipment data with the carrier to arrange transport and retrieve tracking. We do not sell your personal data, and we do not use it to train AI models. 

5.4  You may request access to, correction of, suspension of use of, or deletion of your personal data at privacy@takumo.jp or through your hotel, subject to our legal retention obligations. 

6.1  Takumo Traveler is provided in multiple languages including Japanese and English. We aim for accurate translations; if there is any inconsistency, the Japanese or English original prevails. 

6.2  Carrier tracking updates are provided by the carrier in its system language and may not be available in all languages. 

7.1  All IP rights in Takumo Traveler are owned by Takumo K.K. You may not copy, reproduce or distribute any part of the application without our permission. 

7.2  You may share your own booking reference and QR code with people authorised to collect or receive your luggage. 

8.1  Takumo Traveler is provided on an “as-available” basis. To the extent permitted by law, Takumo is not liable for loss, damage or delay to your luggage, for inaccurate or delayed carrier tracking, or for indirect or consequential loss from your use of the application. 

8.2  Nothing in these Terms excludes or limits Takumo’s liability where it may not lawfully be excluded, including liability for death or personal injury caused by Takumo’s negligence, for fraud, or for damage arising from Takumo’s intentional act or gross negligence (故意・重過失). 

8.3  If you are a consumer, nothing in these Terms affects your mandatory rights under the Consumer Contract Act (消費者契約法) or other consumer-protection law; any provision that would be void under that law does not apply to you to that extent. 

9.1  Takumo does not guarantee uninterrupted access; the application may be unavailable due to maintenance, carrier outages or other factors. 

9.2  Takumo may modify, suspend or discontinue features of Takumo Traveler. Where a change materially affects Guests, we will give notice in the application where practicable.

11.1  These Terms of Use are governed by the laws of Japan. Disputes are subject to the non-exclusive jurisdiction of the Tokyo District Court. If you are a consumer, you retain any rights and any jurisdiction protections afforded by mandatory consumer-protection law.
